Preferred parking passes are available for$2 per vehicle. " The$150.00 picnic fee is a non-refundable separate fee and is NOT applied to the final picnic food invoice. * The picnic invoice will be mailed to you approximately one week after the event,and is due 10 days upon receipt. • A 6.5%sales tax will be added to your final picnic invoice. * No outside food or beverage is allowed inside the ballpark. • If you wish to continue beverage service after the picnic ends,a$50.00 per server fee plus additional consumption,will be added to your picnic invoice.This arrangement must be made at least three days prior to your event. If the request is made less than three days before the event,the fee will be$60.00 per server. * A cash bar is available for a$50.00 fee,with the cash bar ending at the conclusion of the picnic.A cash bar CANNOT be continued after the picnic ends. * Cancellation of any picnic must be made in writing at least 21 days prior to the event;however,all ticket sales are final and the picnic fee is non-refundable. * In order to properly prepare for the event,we must have a guaranteed number of attendees no later than three working days prior to the event. Each person you guarantee will be billed at the"Meal Price". If no guarantee is received three days prior to the event,we will use the number of tickets you purchased as your guarantee. If your guarantee does decrease from the number of tickets purchased, all unused picnic passes MUST be returned to the ticket office prior to the game date or you will be responsible for paying for the meals. " If you select an All You Can Eat menu and the number of actual attendees the day of the event is less than 90%of the guaranteed number,we will take 10%off your guaranteed number. For example: If you guarantee 200 people and 160 attend the picnic,you will be billed for 180 meals. " We reserve the right to require a credit card number at the time of reservation.If payment is not received within 30 days of the picnic invoice,your credit card will be charged the balance. * Tent location is subject to change according to your final guaranteed number and availability. Stegall, Assistant Cityer Mana g g RECREATIONAL LEISURE AND CULTURAL OPPORTUNITIES FOR ALL CITIZENS SUBJECT: 2006 Employee Appreciation Outing PURPOSE The purpose of this memorandum is to provide the Mayor and members of the City Council with information to consider funding a 2006 Employee Appreciation Outing RECOMMENDATION ;m* It is recommended that the City Council approve the funding of a 2006 Employee Appreciation Outing event in an amount not to exceed $21,000. BACKGROUND In 2002 the City Council approved an Employee Appreciation Outing to the Kane County Cougars Game and Picnic. The event was offered to all full-time and permanent part-time employees. Eight hundred seven City employees and guests attended the event in 2002 and it was a great success. We have not held an employee appreciation event since that time. We would like to offer this Employee Appreciation Outing event to the Kane County Cougars Game this year to approximately 1100 active City employees which include all full-time/part- time and seasonal employees. A tentative date has been set for Thursday, August 17, 2006. Each active city employee as of June 1 will receive one free ticket to the Baseball Game/Fire Works and all you can eat picnic from 5:00 p.m. to 7:00 p.m. Each employee will have the opportunity to enter a drawing to throw the first pitch. Employees can purchase additional tickets for$18.95 each.
