HomeMy WebLinkAbout89-0413 Childrens Theatre B9•0443 AGREEMENT BETWEEN CITY OF ELGIN/HEMMENS AUDITORIUM and ELGIN CHILDREN'S THEATRE SUMMER MUSICAL Whereas the City of Elgin/Hemmens Auditorium and the Elgin Chil- dren' s Theatre wish to participate in a venture in the year 1989 regarding theatrical education and production for children, the parties hereby agree on the following: I . ) Elgin Children' s Theatre will produce the summer musical WINNIE THE POOH in the summer of 1989 . A. Schedule of events: 1 . Audition dates will be June 12 & 13 from 6 : 00 to 9: 00 p.m. and June 14 from 1 : 00 to 9 : 00 p.m. 2 . Rehearsals will begin July 10 , 1989 and will run Monday through Thursday from 1:00 to 5: 00 p.m. . a . Lighting and sound will be set up by August 7 , 1989 b. Performance-ready house will be set up by August 13 , 1989 3 . Show dates will begin August 17 and be scheduled eight times , ending on August 26 , 1989 B. Hemmens Auditorium will provide the following: 1 . Half of the Exhibition Hall for each of the re- hearsal dates , or other suitable rehearsal space if Exhibition Hall is not available. Hemmens Auditorium will notify Elgin Children' s Theatre two weeks in advance if such space is not available. 2 . The use of Hemmens ' phone number, which would go on all advertisements and bulletins. Hemmens staff would be instructed to inform the general public regarding all pertinent information. 3 . Technical equipment (lights & sound) as required by the show and staff to operate that equipment 4 . Publish announcements and promotional materials in the following publications, brochures, etc: a . The Elgin SPIRIT, If space is available b. The Elgin Parks & Recreation Brochure c. The Hemmens Newsletter d. Distribution to U46 students upon approval 5 . A reasonable amount of copy work for letters to parents, rehearsal schedules , etc. without charge. C. Elgin Children' s Theatre will provide the following: 1 . Hire a director and all paid or non-paid staff for the production, aside from the above specified Hemmens personnel. 2 . Collect registration fee from each child to be turned over to The Hemmens. 3 . Pay any and all bills related to the production of the show, except those specified the responsibility of The Hemmens under section (B) . 4 . Print tickets and set up a mechanism for the distribution of tickets and an individual to keep track of and collect the money for ticket sales. II. ) Payment and Fees: A. Hemmens will act as a depository for all registration fees, ticket monies , or income generated by the summer show, except for advertisements, sponsor sales, patron sales, and concession monies. B. $3500 for production of WINNIE THE POOH paid as follows: 1 . $2 ,500 four weeks prior to the first performance date 2 . $1 ,000 thirty days following the last performance 3 . Fifty per cent of any net profits over and above the $3 ,500 to be paid thirty days following the last performance paid to the Elgin Children' s Theatre. 4 . If income from registration and ticket sales is LESS than $3500 , the deficit shall be deducted from the final payment due Elgin Children' s Theatre. III . ) Neither Elgin Children' s Theatre or Hemmens Auditorium may incur debt for the other party or otherwise indicate that have the authority to act in the name of the other party without written permission. IV. ) Elgin Children' s Theatre is a non-profit organization, and all funds received by Elgin Children' s Theatre will be used for the children' s theatre. V. ) All activities of Elgin Children' s Theatre arising out of the course of this agreement shall be covered under the City of Elgin Insurance Policy in effect for programs at The Hemmens.
