Parker, City Manager SUBJECT: Donation of Used Computer Equipment to the Boys and Girls Club PURPOSE The purpose of this memorandum is to provide the Mayor and members of the City Council with information to consider donating used computer equipment to the Boys and Girls Club of Elgin. BACKGROUND In September 1998 the Boys and Girls Club requested that the City consider donating any unneeded computer equipment to their organization. In response to that request, the city donated 20 CPU' s, five monitors and four printers that were no longer of use and had no residual value . Attached is a memorandum from the MIS Director stating that currently the City has 45 CPU' s and monitors and 5 printers that are no longer of use to the City and have no residual value that could be donated to the Boys and Girls Club. Mr. Massey estimates that the value of the equipment is less than $500 total . Formal action by the City Council identifying the specific equipment as surplus is necessary. COMMUNITY GROUPS/INTERESTED PERSONS CONTACTED Boys and Girls Club representatives. FINANCIAL IMPACT / The property could be disposed through the annual auction and it is estimated that it would generate less than $500 in revenue to the City. LEGAL IMPACT The City Council would need to take action authorizing the AV donation of the computer equipment to the Boys and Girls Club of Elgin. Donation of Used Computer Equipment February 9, 2000 Page 2 ALTERNATIVES The City Council may choose to donate the equipment or sell at the next auction. RECOMMENDATION It is recommended that the City donate the unneeded computer equipment to the Boys and Girls Club of Elgin. Respectfully submitted, Joy A Parker Ci Ma ager Attachments s MEMORANDUM January 28 , 2000 To: Joyce Parker, City Manager From: PAJeff Massey, MIS Director Subject : Donation of Computer Equipment to Boys and Girls Club of Elgin Deborah Willis, program director for the Boys and Girls Club of Elgin, has expressed an interest in acquiring the old PCs and printers that we have replaced and taken out of service . We have 45 CPU units, that taken together would provide maybe 30 working PCs, 45 monitors, and 5 printers. These are the non Y2K compliant 386/486 class PCs that were replaced during 1999 . The total residual value of the entire inventory is less than $500 , or in practical terms it is worthless to us . I would recommend and support the donation of this equipment to the Boys and Girls Club of Elgin. Not only will it give them some usable equipment, but it will also give us back some valuable storage space here in the City Hall . If you have any questions please contact me at ext . 5642 .
