RESOLUTION
APPROVING CHANGE ORDER NO. 1 IN THE CONTRACT WITH
ST . AUBIN NURSERIES FOR THE PARKWAY TREE PLANTING PROJECT
WHEREAS, the City of Elgin has heretofore entered into a
contract with St . Aubin Nurseries for the parkway tree
planting project ; and
WHEREAS, it is necessary and desirable to modify the
terms of the contract as is described in Change Order No . 1 ,
attached hereto.
NOW, THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE
CITY OF ELGIN, ILLINOIS, that Joyce A. Parker, City Manager,
and Dolonna Mecum, City Clerk, be and are hereby authorized
and directed to execute Change Order No . 1 , a copy of which is
attached hereto and made a part hereof by reference .

CHANGE ORDER NO. 1 AND FINAL
SCOPE: This Change Order No. 1 will increase the contractual agreement with St. Aubin
Nurseries to allow J22 additional trees to be planted in the City of Elgin.The general contractor
for this project is St.Aubin Nurseries
REASONS FOR CHANGE: The Change Order is in the best interests of the City of Elgin and is
authorized by law.
SUMMARY OF CHANGES IN CONTRACT AMOUNT: The amount of the contract will
be revised as follows:
Original Contract Amount: $16,000.00
Change Order No. 1: $ 36,482.00
New and Final Contract Amount: $52,482.00
OTHER CONTRACT PROVISIONS: All other contract provisions shall remain the same.
AGREED TO THIS 25 DAY OF SEPTEMBER, 2000.

SUBJECT: Change Order No. 1 with St . Aubin Nursery
For a Tree Planting Contract
PURPOSE
The purpose of this memorandum is to provide the Mayor and members
of the City Council with information to consider Change Order No.
1 to the St. Aubin Nursery contract for tree planting throughout
the City of Elgin.
BACKGROUND
In October 1999, the City Council awarded a contract with St . Aubin
Nursery for the planting of trees throughout the City of Elgin.
The contract maximum obligation was set at $16, 000 . The original
contract amount was based on the money that was in Forestry' s tree
planting budget, however, grant money, and the implementation of
the 50/50 cost share program allowed Forestry to plant many more
trees in Elgin. It is important to note that all of the expenses
incurred under this contract in 1999 have already been paid for
from the 1999 budget. The number of trees could not be determined
until the end of the program.
Change Order No. 1 involves the increased beautification to parks,
the downtown area, and residential streetscapes, and capital
improvements. The change order cost breakdown is as follows :
Park Planting Fall 1999 • $ 10, 000 . 00
Gifford Park Planting Grant 1999 $ 11, 600 . 00
Increased Street Tree Planting Spring 2000 $ 14, 882 . 50
Total Increased Planting for Spring 2000 and Fall 1999 . . $ 36,482 .50

FINANCIAL IMPACT
All 1999 expenses have already been paid from the 1999 budget . A
total of $20, 375 was budgeted in account number 010-5021-763 . 45-08 .
The remaining funds will be transferred from 275-0000-791 . 45-05,
Miscellaneous Tree Service, where adequate dollars remain.
LEGAL IMPACT
None.
ALTERNATIVES
None .
RECOMMENDATION
The recommendation is to approve Change Order No. 1 to the St .
Aubin Nursery contract for tree planting throughout the City of
r Elgin in the amount of $36, 482 . 00 .
