TO: Mayor and Members of the City Council I II. . ,AiI M 011 CITY FROM: Joyce A. Parker, City Manager FINANCIALLY EFFICENT SERVICES.GOVERNMENT AND QUALITY INFRASTRUCTURE SUBJECT: Donation of Used Computer Equipment to the United Way of Elgin PURPOSE The purpose of this memorandum is to provide the Mayor and members of the City Council with information to consider donating used computer equipment to the United Way of Elgin. BACKGROUND Carol Gieske, President of the United Way of Elgin, has made a request to the City to donate any existing surplus computer equipment to the United Way of Elgin in support of their "Community Communications Program" . Over the past two years the Boys and Girls Club of Elgin has made similar requests and the City has donated 65 surplus computer CPU' s; 40 monitors and nine printers to the Boys and Girls Club. Currently there are 61 computer CPU' s and 25 monitors that are no longer of use to the City that could be donated to the United Way of Elgin. MIS staff estimates that the residual value of the equipment is less than $1, 000 total . Formal action by the City Council identifying the specific equipment as surplus is necessary. COMMUNITY GROUPS/INTERESTED PERSONS CONTACTED United Way of Elgin representatives . MIS Committee . FINANCIAL IMPACT (71f,A,.. The property could be disposed of through the annual auction and it is estimated that it would generate less than $1, 000 in revenue to the City. LEGAL IMPACT The City Council would need to take action authorizing the J donation of the computer equipment to the United Way of Elgin. Donation of Used Computer Equipment July 3, 2000 Page 2 ALTERNATIVES The City Council may choose to donate the equipment or sell at the next auction. RECOMMENDATION It is recommended that the City donate the unneeded computer equipment to the United Way of Elgin. Respectfully submitted, A. 1 -lEss Joyce A. Parker City Manager • ri nited way The Way We Care. Community by Community. June 5, 2000 Ms Joyce Parker City Manager City of Elgin 150 Dexter Court Elgin, IL 60120 Dear Joyce: United Way of Elgin and our thirty partner agencies are involved a year-long effort to upgrade our technology capability through a "Community Communications Program". We believe that improving our partner agency's technology will improve their productivity and ultimately reduce operating expenses. Thanks to the efforts of Senator Steve Rauschenberger and Representative Doug Hoeft, the State of Illinois has been asked to provide funding to improve Internet communications access, e-mail, etc for United Way and its partners agencies. This new initiative is a wonderful partnership between the State of Illinois, our Governing Board and partner agencies and First USA, utilizing funding and professional expertise to change the technological landscape at our not-for-profit partner agencies. It is our understanding that the City of Elgin has approximately 65 personal computers, which were replaced by newer models earlier this year. If these machines are available for re-use, we would be most interested in expanding our partnership to include the City of Elgin through the donation of these computers, distributing them to our agencies. These machines would greatly improve enhance office productivity within the agencies. Thank you for your consideration of this request. Sincerely, Unit Way of Elgin _ Lai C .
