RESOLUTION
ADOPTING GUIDELINES ON ART EXHIBITIONS AND
ART SHOWCASE RENTAL FEES FOR THE ELGIN ART SHOWCASE
BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF ELGIN,ILLINOIS,that it
hereby adopts the Elgin Art Showcase Guidelines on Art Exhibitions and Art Showcase Rental Fees
dated April 8, 2015, as the guidelines on art exhibitions and art showcase rental fees for the
administration of the Elgin Art Showcase, copies of which are attached.

GUIDELINES ON ART EXHIBITIONS:
Installation Requirements:
▪ Artists must hang and take down their own artwork within the perimeters set by the Elgin Art
Showcase.
- Arrangements for times to hang and take down exhibit work should be made with the Showcase
Coordinator.
▪ There is approximately 95 feet of picture rail to hold artwork.
All artwork should be framed or presented in a professional manner. Any artwork that does not
arrive in this iicondition will not be displayed.
• A $10 installation fee per artist per exhibition is required prior to installation.
i Artists cannot tape or tack artwork or other material on the walls.
- If labels are going to be used on the walls, they must be approved by the Elgin Art Showcase
Coordinator before Lithey are applied to the walls. Ii
Publicity Information Requirements:
- The following information must be given to the Elgin Art Showcase Coordinator when requested.
Late arrival of ithe information may result in the exhibit being excluded from promotional
materials.

needed:

Sales Policy:
Artwork may be sold through artists. Please have information available so contact can be made. The
sale transaction is up to the artists. The Art Showcase is in no way responsible for the selling of
artwork.
De-installation Requirements:
• Marks on the display walls and picture rails must be cleaned. Mr. Clean Magic Erasers work
best. They do not remove paint or mar the finish of rails.
Additional Information:
Any materials or artwork left at the space longer than 2 weeks following the close of the
exhibit becomes the Llproperty of the Elgin Art Showcase.
Li The Elgin Art Showcase is both a Visual Art Gallery and a Performance Venue. Performance
companies may rent Lithe space during the visual art exhibit. Thus, the work will be open to the
public view at various times and during various events. Li

ART SHOWCASE RENTAL FEES

Weekday hourly rate:
9:OOam-6:OOpm $20.00(non-Elgin Resident: $25.00)
6:OOpm-12:OOam $25.00(non-Elgin Resident: $30.00)
Weekend Rates:
• 1 day rental-8:OOam-10:OOpm $250.00(note that this does not include performances or use of tech
equipment)
Weekend Performance rates:
• One Night Performance rental (Friday,Saturday,or Sunday) $300.00- Elgin Resident $350.00-Non-Elgin
Resident. This rate includes one night of rehearsal/tech in the space during the week prior to the event.
• Weekend Performance Rental (Friday, Saturday,and Sunday) $650.00-Elgin Resident $700-Non-Elgin
Resident Weekend Performance rates include tech week one week prior to performance (Monday-Thrusday),
use of the tech storage room, use of the dressing rooms, use of the green room, use of the ballroom, and use of
all technical equipment:
Season Rates:
Groups interested in hosting their season at EAS should consider this option. A season consists of 3 or more
productions in one year.
• 3 production season includes:
o One weekend of performances for each show
o The week of the show for tech
o One week of rehearsal in the space prior to tech week*
o Use of all technical equipment (after training)
o Inclusion on EAS promotional materials and social media
o Total fee: $2,000.00
• *The week of rehearsal in the space may be exchanged for an additional weekend of performances
• Additional performance (full weekend) cost: $300.00
• Additional production cost: $500.00
• Additional rehearsal rate cost: $15.00 per hour
Return Renter Lease:
Individuals interested in renting the space for weekly classes should consider this option. Please note that
this option may not be used for performances. Minimum lease length is 3 months.
• Renter will have 10 hours each month. Rate includes:
o The time in the space
o All utilities
o Total fee: $150/month
ADDITIONAL FEE INFORMATION:
Guard Duty:
There is no longer a regular guard on duty at the building. The building is only open from 8am to 6pm Monday
through Saturday. Outside of those times,the front door locked and the swipe card is used to get into the
building. You may use a volunteer that you secure, or the Elgin Art Showcase Coordinator can assist you in
finding a person. If you are unable to secure a volunteer and the Showcase Coordinator must help secure a
guard the rate is$10 an hour with a $30 minimum. You will have to pay for the guard for all of your
performances and will need make the arrangements to inform him or her of the hours and days that you will
need a guard. Please pay the guard on that day.
Alcohol Service:
If you choose to serve alcohol, you must complete the EAS Liquor License Application. There is no fee for the
application. The application must be completed and turned in no less than 30 days before the event is to take
place. EAS requires all alcohol to be served by BASSETT certified bartenders.
Technical Staff:
If you will be using the technical equipment, you must complete the Technical Training before the event is to
take place. If you are not able to complete the training, it is required that you provide a trained technical staff
person to run the equipment.
