ANEW Elgin Image Advisory Commission Monday, February 27, 2012, 7pm 2"d Floor South Conference Room City Hall, 150 Dexter Court Call to Order Meeting commenced at 7pm II. Roll Call Apologies were accepted from Lauren and Sue who were absent Ill. Image Award The awards will be a one hour program a. Review of Commissioner's write-ups Tricia is to introduce, then pass on and so on. Someone should always be on the stage. Commissioners are to help people on and off the stage at to the photographer. Commissioners are to arrive between 5pm and 5:30pm and dress smartly. Meet and greet will begin at 6pm. Action:All speeches are to be sent to Cherie by March 12`h. Murphy c @cityofelgin.org b. Final Review of Program i. Music Music will be provided by the Youth Symphony Orchestra ii. Photographer Photography will be provided by Robert Eddy iii.Award Certificates The award certificates were approved by the Commission 17 Certificates will be required iv. Programs This year's programs will be purple v. Food Discussion of hiring Cuisine vs. In the Neighborhood Deli. ITND was approved as it provides more appetizers. vi. Name Tags Commission members will wear name tags. City staff will provide these. vii. Publicity Channel 17 and newspaper media contacts Action: Michael to talk with Boca Jump IV. Recognition Award Installation V. Other Business Commission members agreed to sign their speeches and give them to the candidates. Action: All Open Meeting's Act certification will be completed by all commissioners fir the April Image Commission Meeting. VI. AIM Elgin Image Advisory Commission Monday, March 26,2012,7pm 2"d Floor South Conference Room City Hall, 150 Dexter Court Call to Order Meeting commenced at 7:06pm. Meeting start was delayed do to the change of conference room location. II. Roll Call All present except Winfred Cooper Jr. III. Image Award Re-cap a. Media coverage—Very good media coverage leading up to the event, however, coverage at the event and afterwards was poor.Tricia to follow-up with the media about the disappointment. b. Categories—Next year combine categories prior to sending out media press releases. Discussion was presented by Herb Gross if organization and business should be separate categories. Since the write-ups are truly the only criteria of giving out the awards, commission has the right to determine the different categories; therefore, there is no need to change the categories at this time. c. Food—Excellent feedback on the quality and quantity amount from In the Neighborhood Deli.The cost was well under last year and we did not run out of food. d. Music—Set the tone very nicely, recommend the Youth Symphony for next year as well. Barb is to follow-up on Youth Symphony Check. e. Program—Color purple was favorable and everybody's speeches were sent into Barb/Cherie on time. Next year, pop-up the book in order to read it better and look into having an Omni directional microphone. Compliments were received for selecting deserving award recipients. f. Overall, continue to integrate historical Elgin pictures in the slideshow and keep commissioners standing along side of the Mayor during the presentation of certificates. Motion set by Herbert and seconded by Susan that no other awards be presented at the Image Awards Ceremony in the future. Motion passed 7-0. g. Appreciations—Tricia thanked Michael for speaking without the microphone,Susan for helping new commissioners, Chandler for researching pictures at the Historical Society for the slideshow, and all the commissioners for writing good speeches. IV. Recognition Award Installation Ceremony a. To take place on April 25th at 6:30pm between council meetings. Barb to contact past commission members and invite them to attend. b. Barb to set-up a post ceremony celebration at Al's Creamery Café and purchase an engraved platter gift for Sue Olafson along with a card for the image to present her at the celebration.Tricia to supply Barb with the proper wording. c. Award placement for the Centre to be located outside the doors to the Heritage Ballroom.This discussion was tabled for a later date. V. Other Business a. For upcoming meetings Barb to schedule a representative to speak about: i. Kimball Bridge Project ii. Street and parking lot conditions/plan iii. Bike Paths iv. Sidewalks from Wal-Mart to Gail Borden Library and on Mclean to Fresh Market v. Signs b. Barb to order name tags for commission members VI. Chair Tricia Dieringer called the meeting to order at 7:20pm. II. Roll Call a. Commissioners present:Trisha Dieringer, Chandler Swan, Corey Dixon, Herbert Gross, Michael Murschel and Winifried Cooper Jr. Commissioners excused absence: Lauren Bullaro, Matthew Iverson,and Susan McIntyre. Ill. Updates a. Recognition Awards i. Please see attached memo that was sent to city council in regards to selecting Dr.Joseph Tefft and architect William Wright Abell to receive the 2012 Elgin Recognition Award.A formal memo will be placed on the November city council agenda for approval. b. Entry Way Signs i. Budget has not been decided by city council. IV. 2013 Image Awards Timeline a. Barb Keselica is to post the nomination form on the website and send out a press release by the next meeting. In addition, a hard copy should be placed at the library, Centre, and City Hall. b. The 2012 nomination forms will be changed to reflect the due date of January 18th.After the forms are submitted, Barb Keselica will copy and send them out to all the commissioners to review by January 25tH c. On February 2nd,the commission will meet at gam at the Centre's West Conference Room to review the submissions and select the 2012 award winners that will appear before council to approve. This meeting will take the place of the normal January meeting. d. In February,the papers should be notified about the event,a taping with Jeff Meyers should take place, and a live radio broadcast from WRMN should be scheduled. e. On February 25th, the commissioners will have prepared a written speech for a selected award winner.The commissioners will review the event timeline and rehearse the written speeches. f. The Image Award ceremony will take place March 21st at 6pm. V. Other Business a. Open Meeting Act Training must be completed by the December 17th meeting which will take place at 6pm at Danny's Pizza. Tricia Dieringer motioned the meeting to adjorn and Chandler Swan seconded it at 8:17pm. Chair Tricia Dieringer called the meeting to order at 7:04pm. I1. Roll Call a. Commissioners present:Tricia Dieringer, Herbert Gross, Matt Iverson, Susan McIntyre, Michael Murschel, Chandler Swan,and Lauren Bullaro. Excused absence: Corey Dixon Unexcused absence:Winifried Cooper Jr. III. Updates a. Recognition Awards i. Attached is the memo that will appear on the Wednesday city council agenda. After it has been reviewed it will move to the consent agenda in December. Once the council approves the commission's nomination of Dr.Joseph Teft and architect William Wright Abell a press release will be sent to the media. b. Entry Way Signs/Budget Approval i. Mayor stated to Chair Tricia Dieringer that the budget calls for$100,000 next year for entry way signs; however, budget is still not approved by council for 2013. IV. 2013 Image Awards a. Press Release i. Attached is the press release that was reviewed. Barb Keselica to change the number of categories from 6 to 5 and create a poster with OR code. Commissioners will pick-up the posters from City Hall and distribute them throughout the community once they are completed. ii. Herb Gross made a motion to place the past 7 years of award winner's names on the city's website under their selected categories. Michael Murshel seconded the motion. Motion passed 7-0.The winner's names will be added to the city's website in 2013. b. Applications i. Applications/posters to be sent to the following locations:WRMN,Jeff Meyers, Historical Society, Commissions, Library, Centre, Chamber, Bocca Jump, ECC, u- 46, downtown restaurants,State Street Market, Churches, Books at Sunset, In the Neighborhood Deli, and Judson University. c. Cultural Art's Commission Liasion Sylvia Grady should be asked about placing 1440's pictures around City Hall. b. Veteran's Ceremony took place on November 11th and the keynote speaker's speech did not fit the environment that was expected. Chair Tricia Dieringer has spoken to the appropriate party. c. Can goods can be brought to City Hall or the American Legion Post 57 during the holiday season.The American Legion Post 57 and the Township Offices are also accepting new toys for Toys for Tots. d. Open Meetings Act needs to be completed for the next meeting on December 17tH VI. Adjourn a. Susan McIntyre moved to adjourn the meeting at 8:23pm. Chandler Swan seconded the motion.
