I. Call to Order: Joli Sumoski called the meeting to order at 6:07 p.m.
II. Supervisor Spotlight: Delaney Lehman, Community Recreation Supervisor.
Delaney shared her job responsibilities with the board including athletic leagues (t-
ball, adult softball, soccer, adult basketball and volleyball) and preschool
instructional sports classes at The Centre.
III. Minutes of the November 13, 2008: Minutes were approved as written.

IV. New Business:
A. Marketing/Customer Service: The Centre Customer Service Survey is up and
running. We have been getting a majority of positive responses and comments.
The November/December membership promotion wrapped up and was successful.
The January promotion began and our Zero Initiation fee is in progress for the
remainder of the month. We are planning a February promotion around the Heart
Healthy theme. We have had a few complaints on our convenience fee for online
registration. With the push to encourage more online registration, we will be
looking into capping the fee to make online transactions more attractive to our
users. The department is changing the delivery process for the seasonal brochure.
We will no longer be delivering the brochure as we have four times per year. For
the first season, in March, we will be delivering a 4-page mini brochure with
highlights of the department and information on where customers can now pick up a
program brochure. We will have them available at all of our facilities, some local
points of interest as well as online.
B. Comment Card Log: It was requested that staff look into acquiring an
additional coffee machine for the 2nd floor, near the tap studio where many parents
sit during classes.

C. Maintenance Update: Men's whirlpool surround rebuilding process was
completed. The women's will be rebuilt next year. Staff is working to extend the
banquet office into the Centre Manager's Office to give the three banquet
coordinators additional room to present a more professional work environment.
D. Centre Monthly Statement: Monthly financial statement for The Centre was
reviewed for November.

I. Call to Order: Suzanne Smith called the meeting to order at 6:02 p.m. New board member
Fred Brach was welcomed.
II. Supervisor Spotlight: Deb Barr Deb shared her job responsibilities with the board
including Hawthorne Hill Nature Center, before and after school programs, summer camps,
and adult softball leagues.
III. Minutes of the January 8, 2009: Minutes were approved as written.
Citizens Forum: A citizen presented his idea of opening the dance studio in the evening
to those individuals that wanted to practice ballroom dancing. Since the cost of opening a
room and maintaining supervision is $12.49 per hour for the Dance Studio, it was decided
that if it is pursued that a fee would be necessary as well as specific drop-in times.
IV. New Business:
A. Marketing/Customer Service: The Parks and Recreation Department is no longer
sending out it brochures but rather sending out a postcard that states that the brochure is
now available on-line or at various locations in Elgin. This supports the Elgin green
initiative. It has been decided to limit the on-line convenience fee to $3 per total
transaction versus the original fee structure that was set up with our initial contract. The
inclusion of a Centre coupon in the local Coupon Clipper magazine is being investigated.
There was a discussion regarding a youth membership rate that was positively endorsed by
the board. With the YWCA pool closing, it was suggested that a discount be available for
the participants of the water aerobics program at the YWCA to encourage participation at
The Centre. The board agreed that was a good idea. We then discussed the vending
machine refund policy and agreed that the current refund policy should be discontinued and
signs should be posted regarding the change.

B. Comment Card Log: Punch passes were discussed. It was recommended that the
dates for passes not be limited to quarterly but rather should be effective for 90 days from
the date of purchase. Another issue is that if classes are cancelled consistently, the punch
pass user may not be able to use all the passes during the stated time period. Also, the issue
of incorrectly swiping a personal training session instead of the punch pass was discussed.
It was stated that it is a training issue and re-training will be explored.
C. Maintenance Update: The Centre is continuing to migrate to energy-efficient lights.
This netted a$40,000 savings last year. The pool has yet to be replaced. There continues
to be a leak in the men's locker room. There is a foul odor in that locker room especially in
the morning. Also, the racquetball court glass should be cleaned more frequently.
D. Centre Monthly Statement: Monthly financial statement was not available
E . Other: The Centre policy of copying a driver's license for any check over $25 should
be posted.

I. Call to Order - Meeting was called to order at 6:05 p.m.
II. Supervisor Spotlight - Nona Castro - Nona is the recreation software
specialist. She is responsible for on-line registration, peripheral hardware,
training, and is the all around go to person regarding the system. She is
currently focused on golf course training. She shared an interesting story
on one of her more complex inquiries.
III. Minutes of the March 12, 2009 meeting - Minutes were approved at 6:45
p.m.
IV. Citizens Forum - State Representative Keith Franham introduced himself to
all of the members of the board and staff. He articulated his commitment
to The Centre and asked us to keep him informed of our issues.
V. Old Business
A. YWCA Water Aerobics Discussion - Since the YWCA is closing the end of
June and our water aerobics program would benefit from additional
patrons, it was decide to offer the 30 members of the YWCA program an
introductory 10 punch pass for water aerobics. It was suggested that a
Centre representative go to the YWCA and pitch our program.
B. Youth Pass Update - No Update
C. Dance Studio - The Centre is going to offer drop in dance studio time on
Mondays from 10 a.m. to 6 p.m. beginping May 1St. We will review the
revenue and usage in August.
D. Fitness Pass - Due to revenue generated by unused punch passes, it was
decided to increase the overlap time from .15 days to 30 days.

VI. New Business:
A: Marketing/Customer Service Update - The Parks and Recreation survey
was presented to the City Council and the Centre results were highlighted.
-r The Centre was able to get the cover on next month's Coupon Clipper.
B. Comment Card Log - City vehicles have been removed from the parking
garage. Parking problems continue to be a major card log issue.
C. Maintenance Update - Spin room floor is being refinished on Saturday.
This completes the refinishing project. Sit-up machine is being fixed.
D.. Centre Monthly Statement - Now that the new system has been up for a
year, the comparison to prior year will be more useful.

I. Call to Order - Meeting was called to order at 6:00 p.m.
II. Supervisor Spotlight - Lena Vocalino a certified wedding coordinator
explained her responsibilities as banquet coordinator. Her focus is to sell
and coordinate the detail of the ballroom and the bar for events. Food is
catered. She noted that this summer and fall are going to be quite busy for
the events staff.
III. Minutes of the April 9, 2009 meeting - Minutes were approved at 7:00p.m.

V. New Business
A. Marketing/Customer Service Update -
Coupon clipper is out and the Centre received the front cover spot. It
turned out great.
June 27th is Family day at the Centre which will occur between 10:00am -
2:00 pm.
Senior Health and Wellness Fair was very successful with 40 vendors which
enabled the Centre to provide lunches for the senior attendees.
A "thank you" note or post card is being considered for new members.
Exact costs are being researched.
The potential for referral fees or coupons from local hotels is being
explored.
The customer service surveys have declined so it will be reinforced with
employees.
Summer Camp flyers have been sent that include camper loyalty coupons.
Olympic Team Handball championship held at the Centre in conjunction
with ECC and Judson.

Wine Festival to occur Memorial Day weekend at Festival Park. This is the
first year for this event.
B. Comment Card Log -
"" Zumba music seems to have been too loud and it was addressed. Drywall
addressed the view from outside the locker room.
C. Maintenance Update-
Banquet office is to be taped and painted. Racquetball Courts are receiving
new low energy lighting. There will also be a switch at the front desk that
allows for turn off when not in use.
D. Centre Monthly Statement - New first quarter statement was
distributed which shows improvement over prior year.

I. Call to Order - Meeting was called to order at 6:00 p.m.
II. Supervisor Spotlight -Dave Lopez, Membership Sales Associate, shared
that he assists Liz in membership sales that includes center tours for
interested parties, membership paperwork, health fairs and community
business organization solicitations. Dave also is involved in secret shopping
with other fitness firms in the area. He believes that the Centre's family
and community focus is important to members.
III. Minutes of the May 14, 2009 meeting - Minutes were approved at
6:20 p.m.
IV. Old Business
A. Junior membership has been designed for ages 8 - 13. The proposed
cost is $215 and does not include fitness. This is equivalent to a YMCA
youth pass. It is hoped that this will not adversely impact family passes.
B. User Fees - Memberships are down 12% over prior year. It is proposed
to reduce the differential between resident and non-resident rates to
encourage non-resident memberships. Another proposal is to include
unlimited day care and unlimited fitness in the Platinum package. It was
suggested to target pre-school parents in cross promotions since they are
consistently coming to the centre to drop off children.
C. New Board Recruitment - 3 new board members are waiting to be
approved at the next Council meeting. Carol, Barbara and Joli will be
leaving the board after three years of service. Suzanne is continuing for a
3rd year and Charles is contemplating continuing.

V. New Business
A. Marketing/Customer Service Update
There has been an increase in using the TV screen scrolling feature to
announce programs and reinforce activities. The Centre is now on
"Facebook". Enrollment is as a "fan of the Centre".
There was a discussion about the challenges of getting to the Centre
website. It was strongly suggested that the website needs a quick link
from the City of Elgin website. It was also suggested that the Centre
programs including short-term promotions such as the fitness bingo be
reinforced in the Parks and Recreation e-mails.
B. Comment Card Log
No major issues identified.
C. Maintenance Update
Lighting in 2nd racquetball court is complete. Swimming pool drains are
being reworked to comply with new Illinois state law.
D. Centre Monthly Statement
2009 is projecting better than last year overall but there is a concern
regarding membership decrease.
The summer hours are scheduled to continue into fall. It was suggested
that 5:30 a.m. to 9:30 p.m. might better meet the needs of both early
risers and night owls.

I. Call to Order - Meeting was called to order at 6:05 p.m.
H. Supervisor Spotlight - Brett Lind - Youth and teen coordinator. Programs
include after school program (20-30), home school students physical
education program (100-150), basketball (400-500), and teen special
events. We discussed possible approaches to getting teens more involved
in the Centre.
III. Minutes of the August 13, 2009 meeting - Minutes were approved at
6:20 p.m.
IV. Old Business
A. New Board Members have been approved by the City Council. They are
Siobhan Cottone, Mitch Esterino, and Edward Sayre. Also, Michael Warren
has joined the Board as the City Council representative. There is an
opening for another member and Carol Gebelt has volunteered to stay on
the board until this position is filled.
V. New Business
A. Marketing/Customer Service Update
There is a new program that awards $50 to a current member if a new
member is referred.
Customer Service training takes place quarterly on Sunday nights for part-
time and full-time staff.
With these economic times, the youth scholarship fund from the Fox Trot
was depleted by August. It was suggested that a fund-raiser would be
appropriate. Members of the committee could volunteer to coordinate
agreed upon activities.

Refinishing floors, carpet cleaning and updating pool continues.

Call to Order - Meeting was called to order at 6:00 p.m. A Streamwood
High School was in attendance fulfilling a class assignment.
II. Supervisor Spotlight - Elizabeth Langton - Membership Supervisor - Liz's
responsibilities include membership suspensions, upgrades, NSFs, payroll
deduction and corporate billing issues. She also develops short-term
incentives for members, i.e. Bingo, Turkey Shoot. She and Mitch are
responsible for the Youth Scholarship fundraiser on November 13th
III. Minutes of the September 10, 2009 meeting - Minutes were approved at
6:25p.m.
IV. Old Business
A. We discussed assisting at the 11/13 Youth Scholarship. Suzanne and
Siobhan are available. Two areas that have been identified that need
assistance by the board are Marketing and Youth Scholarship fund. One of
the challenges identified with the Youth Scholarship fund is that it is not
well known that there is a fund. Discussion included developing an annual
premier event or building on the current fundraiser. Board members
volunteered to make contacts to assure that all 10 spots are filled for this
year's event.
B. There seems to continue to be a disconnect between the charge of the
Centre to turn a profit and not receiving rent from the facilities being used

A. Marketing/Customer Service Update
Good friends/Good Deal ($50) continues. There is a full-page holiday ad
r* for ballroom in Business Review. The Centre is hosting "Chamber After
Hours" on 12/3 that will showcase the ballroom. A 12-month coupon book
is being considered that could also benefit the Youth Scholarship fund.
B. Comment Card Log
The elimination of being open until 10 was raised but it is a financial issue.
C. Maintenance Update
The installation of the solar trash compactor occurred this month.
D. Centre Monthly Statement
Contractual services are substantially below prior year due to the vendor
not being paid by the City for other services. This should be resolved
shortly.
E. Membership Report - Delayed until next month.

The Centre Advisory Board Meeting
Thursday November 12, 2009

Present: Board: Fred Brach, Siobhan Cottone, Mitch Esterino, Carol Gebelt,
Charles Horton, Suzanne Smith
Staff: Wayne Carlstedt, Amy Knorek, Randy Reopelle, Jan Monell
Absent: Edward Sayre, Michael Warren
I. Call to Order - Meeting was called to order at 6:00 p.m.
II. Supervisor Spotlight - Jan Monell - focuses on early childhood, dance
recital, ceramics. Dance is up 30% form last year and the early childhood
program is at capacity. There was a discussion regarding the possibility of
cooking classes. Siobhan offered her husband's assistance in getting this
started.
III. Minutes of the October 8, 2009 meeting - Minutes were approved.
IV. Old Business
A. The Youth Scholarship is scheduled for 11/13. Suzanne and Siobhan
plan on attending.
B. Officer Elections - postponed to next month.
V. New Business
A. Marketing/Customer Service Update
Employee of the Year is now updated.
There are announcements now being shown on the TV as you enter the
second floor of the Centre.
The Centre Facebook page has 300 friends.
There will be a "Business After Hours" get together on 12/3 at the Centre
from 5-7pm.

B. Comment Card Log
There were a few questions regarding having Friday evening classes.
Currently the last class on Friday begins at 10:30a.m. It was suggested
having a survey completed by existing evening class attendees regarding
their interest in Friday evening class offerings.
C. Maintenance Update
Lighting proposal is pending. There is a potential for the addition on solar
panels.
D. Centre Monthly Statement
Memberships are below prior year. It was suggested that the advisory
group congratulate members that are have been with the Centre for a
certain number of years. Amy will check into the availability of the
membership length data. Also, there was a discussion regarding the
availability of Centre member e-mail addresses.
E. Membership Report - Delayed until next month.
VII. Other Items for Discussion: There was a discussion regarding activities to
support the youth scholarship fund by the advisory board. There will be more
discussion after the event of the 13th
