Call to Order: Joli called the meeting to order at 6:10 p.m. Carol seconded the motion. II. Minutes of November 8, 2007: Barb motioned to approve the November minutes. Charles seconded the motion. Minutes were approved as written. III. Citizens Forum: None. IV. Old Business: A. Centre Focus Group: Letters were sent out to the participants of the focus groups thanking them for their participation and give them the general results. The results showed many the positive aspects of The Centre and changes that will be implemented in the following year due to concerns from focus group members. V. New Business: A. Marketing/Customer Service: CLASS, our new software was implemented on January 2nd beginning with only a few modules at a time. Several items will continue to be sold in RecTrac until the delivery of our Spring Program Brochure. Beginning in February all rentals and bookings including shelters and birthday parties will be in CLASS. In March, with the delivery of the Spring Brochure, all transactions will be sold through CLASS. There was a discussion of the December Customer Service meeting and the holiday party. Gifts were given to raffle winners who were nominated for KUDOS awards from the last quarter. In addition, Kelly Chesbrough was named Customer Service KUDOS Employee of the Year. Sponsorship from ShermanHealth and donations from vendors allowed for raffle prizes including two iPods. r4 B. Comment Card Log: A complaint was made about the size of the skating shelter and that there is not a lot of room inside the shelter which will be passed along to Maria Cumpata, Recreation and Facilities Superintendent. Concerns were also brought up regarding the pool temperature. Wayne informed the board that sensors were not working which caused the temperature to fluctuate. C. Maintenance Update: Kidzworld is opening next week and the Countryside room is opening on January 22"d. Most of the construction work was competed in house for a reasonable price. Locker rooms updates were completed which included a thorough cleaning, installation of new shower heads, tiling, painting, and grouting. Members used the locker rooms downstairs and there was an additional officer on duty downstairs for prevention. Staff revisited the idea of installing turnstiles where membership cards could be swiped without stopping at the desk, as well as new locks installed on the locker doors with keyless entry. The Fitness Center has purchased new treadmills with iPod docks and mp3 player headsets. Staff discussed the possibility of ending our drink sales at the fitness desk and requesting that larger water and Gatorade machines be installed in the fitness center. D. Membership Report: November and December memberships were very strong. Memberships approached 90,000 for November and 110,000 for December. In addition, prices for memberships increased on January 1st, 2008. There was only a small increase in pricing and there have not been any major complaints by customers. F. Other: The idea was raised that members could sign up if they were looking for a workout partner. A sign-up sheet would be placed on the wall in order to find out who works out at certain times. The issue of volunteers at The Centre was brought up again as there are many opportunities where they could be utilized. Randy has the issue in front of the legal department as the issue of what you can give to a volunteer was in question. Amy will be pursuing the issue as a volunteer program would be a tremendous benefit to the facility. There was another conversation about the new Class system VI. Call to Order: Carol called the meeting to order at 6:07 p.m. Barb seconded the motion. II. Minutes of January 10, 2008: Barb motioned to approve the January minutes. Charles seconded the motion. Minutes were approved as written. III. Citizens Forum: None Present IV. Old Business: A. Fitness Center Age Requirement: Staff has reviewed the age requirements in the fitness center with other facilities. It has been determined that staff will keep the age to use the fitness center at 14 years minimum. B. Hat Policy: Staff will revisit the hat policy at The Centre. The original policy stated that hats were not allowed in the Teen Center and Fieldhouse only. Centre management will discuss with current staff and Elgin Police Department for recommendations. V. New Business: A. Marketing/Customer Service: The February membership promotion was discussed and ads were shown to the board. Staff explained the online ads at both the Daily Herald and the Courier News. Staff discussed the new idea to begin an online customer service survey that will begin this spring. The website will be featured at the bottom of the receipts that customers receive from each transaction at the desk where they can take a few minutes to complete a survey. Responses will be placed in a drawing each quarter for a gift card from the department. The city has been getting more involved with the Gail Borden Library on many of their promotions and events. The Centre passed out the membership promotion that day at the library and had over 10 visits directly from the flyer. Centre staff will be working more closely with library staff to collaborate or become more involved with their large scale events in the future. Staff discussed the fact that we will be revisiting the open gym program. Changes will be made with scheduling to include youth/family gym time for the future. B. Comment Card Log: The comment card log was reviewed with no issues or questions from the board. Randy discussed with the board a concern that staff had with a building maintenance issue in the general women's lockerroom. The lockerroom was scheduled for some small repairs, which in the past took between 1 - 2 hours. With our newly assigned building maintenance staff, the job took 6 hours and caused poor customer service issues with program participants and facility users. The communication between building maintenance staff and Centre management on work orders and shut down times needs immediate attention to ensure better service to customers in the future. C. Maintenance Update: Staff discussed the plan for installing turnstiles and new locks for the lockers into the fitness center. These new items will allow for ease of access for members into the facility without being held up at the desk and will improve customer service and traffic flow. Installation of new card readers at our group fitness studios, climbing wall and track were also discussed. Staff feels these readers will allow us to keep a better handle on securing the facility and loss of revenue. D. Membership Report: 2007 year end revenue total exceeded the 2006 totals. Suzanne complimented staff on the good job. F. Other: Juan questioned the size of the Heritage Ballroom and seating capacity. Staff explained that the facility can hold approximately 300 seated banquet style. He questioned if the Elgin Chamber was holding their annual dinner at the Heritage Ballroom and if not, why. Staff explained that possibly the facility was not large enough for their event. Suzanne questioned the "break-even" points for group fitness classes and how we defined success in that program area. Staff explained that in 2007 we saw approximately $50,000 in profit from that area. Staff takes attendance in each class and there is a minimum for attendance in classes based on the instructors pay rate. If classes are not meeting average minimums, classes are reviewed and/or cancelled. Monthly reviews are completed on attendance. Wayne reminded the board that there is no meeting in March. VI. Hat Policy—Centre Staff wanted to review the hat policy which applies to the teen center and the fieldhouse only. It was originally documented in the membership handbook that no hats were allowed for the entire facility, but some members were not happy with this. Centre management has decided to enforce the policy in the teen center and in the fieldhouse. All hats worn in the rest of the facility must have the visor of the hat facing forward or backward. Open Gym Changes—Centre Staff met with the Elgin Police Department, to make sure that The Centre was doing everything operationally to keep the open gym program orderly and safe. The wide demographic of the users that participate in open gym program provide many challenges for the part time staff that supervise the night and weekend hours. Centre Staff are working with Mitch and his staff to provide additional training on how to identify and properly handle certain problem situations. Centre staff have also requested facility walkthroughs by the officers that are patrolling in the proximity of The Centre to help support the community service officer stationed at The Centre nightly. V. New Business: A. Marketing/Customer Service: Centre Staff reported that they are having their next quarterly staff meeting at the end of April. The meeting will focus on providing quality customer service for the upcoming quarter. Centre Staff reported that The Centre is working with Comcast to produce a series of upcoming commercials for The Centre. The Centre is also working on partnering with local businesses to provide corporate training and rental opportunities. Suzanne commented on the importance of having "faces" out there to remind the community of the facility. Charles suggested e-mail blasts to inform the community of all the services, programs and special promotions taking place at The Centre. Randy discussed the roll out of the new online registration system. He said there have been a few kinks but everything is working well to date. The Department is planning on promoting online program registration in the upcoming fall brochure. B. Comment Card Log: Staff asked if there were any questions on the comment cards. Suzanne discussed the comments about the parking issues; suggesting signs acknowledging that there are other areas to park around the facility. Staff said they will talk to the city sign shop to get additional signs that would have arrows pointing to additional city parking lots. Joli stated that right after Christmas break, several preschool moms were frustrated with the parking situation. One preschool mom wanted to know if there would be any way to expand the parking lot in the back of the preschool wing of The Centre. Joli also suggested a drop off program where the parents could volunteer. Staff will talk with Jan Monell to consider options. C. Maintenance Update: Staff mentioned that there were some bigger lockers ordered for the stretching area next to the track . Centre Monthly Statement: The Centre February Statement was distributed to the board members for review. The statement gives a bigger picture of Centre operations as well as a revenue and expense comparison to the previous year. Marketing/Customer Service: Wayne mentioned that The Centre is doing three commercials with Comcast and the first commercial just ended production. The first commercial will be highlighting all the summer camps The Centre has to offer. It will be aired on children's networks and other various other women's networks starting May 15th. The commercials will also be running on the TV's in The Centre on Channel 17. The Centre is also working on a special event called "Amazin' Race," which has been modeled after the TV show. The Centre has partnered up with local downtown businesses to have race stops at their stores to increase awareness and future traffic flow. The new survey will be sent out to Elgin residents as an insert along with the quarterly brochure. The survey will also include additional surveys for all of the divisions in Park and Recreation Department. The department will also be providing incentives for individuals completing the survey. The recreation department is also developing two new recreation pamphlets. These two new pamphlets will be used for the new speaker's bureau that is being developed. B. Comment Card Log: Wayne asked if there were any questions on the comment card. There were no comments. Joli suggested that it would be a good idea to place comment boxes in the babysitting room and preschool wing. C. Maintenance Update: Wayne mentioned new lockers were installed in the walking track stretching area. Wayne also mentioned that there will be some floor resurfacing being done this summer. D. Membership Report: The March statement was not available for this meeting because it had not been released by the Finance Department. F. Other: Joli asked Wayne why Mitch does not come to the advisory board meetings, like Vald used to. She suggested that it would be a good idea if each program supervisor took turns attending a board meeting through out the year. Wayne thought this was a good idea and said he would work on setting it up for future meetings. Joli also mentioned there had been problems between the senior fit group and ballet mom's regarding lack of seating in the seating area outside the elevator on the second floor. Wayne mentioned that more seating was placed up there to help accommodate these groups. Suzanne also suggested that maybe there should be "down time" in between classes for various reasons, Wayne thought that was a good idea. Marketing/Customer Service: Amy passed out the current ads that are running in the newspapers and also displayed around the facility. She also mentioned that every other month a special promotion has been featured,usually involving a discount on the initiation fee for membership. The Amazin'Race went extremely well, nineteen teams participated. , This event will be scheduled for next year. Also on the web page,a survey will be displayed to gain insight from members and the general public regarding customer service at the facility. B. Comment Card Log:' Wayne asked if there were any questions on the comment card. The board was pleased that the comment was minimal. Joli commented about the unsafe pool door and agreed that a sticker would be beneficial. , C. Maintenance Update: Wayne mentioned that there was not a lot to report on the maintence update. Maintenance is in the process of resurfacing some of the wood floors in the fieldhouse. - - D. Centre Monthly Statement: The monthly financial statement was distributed for review. The facility is doing well on new membership, but a decline was seen in the program area. The Centre is currently working on ads for membership specials for the months of November, December and January. The Centre is also working on some corporate advertising to market upcoming holiday parties in the Heritage Ballroom. B. Comment Card Log: Wayne asked if there were any questions on the comment card. The board was pleased that the comments and complaints were minimal for the last month. C. Maintenance Update: Wayne updated the board that several of the facilities floors were refinished in The Centre (fieldhouse, tap studio and racquetball courts) in the last month. The next room scheduled to be refinished is the spinning room in November. The Centre is also currently working on energy efficiency plan that would involve changing a number of lights to save electricity. This plan will done in stages over the next 18 months. D. Centre Monthly Statement: There was not an updated statement provided by the Finance Department to discuss this month. Staff hopes to have new statement by the October meeting. F. Other: Officer elections were held for the next 12 months, Joli C. Sumoski was elected Chairman and Suzanne Smith was elected the Recording Secretary. Last piece of the Comcast ads are under development. Web ads, Herald and Courier ads will focus on Centre membership drives. A post-it note is being considered for the papers. There is a possibility of a direct mail campaign. B. Comment Card Log: There are challenges with webbing in the chairs around the pool area. Ten new chairs have been purchased. C. Maintenance Update: Due to water damage, the men's and women's whirlpool surrounds will be replaced. In the pool area, a fiberglass step broke on the slide in shallow end. Spin Studio floor will be refinished in November. Suggestion was made to clean the inside of lockers. D. Centre Monthly Statement: No statement this month. Staff hopes to have statements to share by the November meeting. E. Supervisor Spotlight-Liz Langton: Liz explained her responsibilities that include memberships - sales, cancellations, upgrades/downgrades, extensions, ACH and reports. She has two part-time employees. She is working on more corporate involvement, i.e. team building workshops, obstacle courses as well as memberships. New membership desk has been established that offers more privacy than the front desk. The September Page 1 member appreciation events were very well received. There will be a pumpkin competition in October. F. Youth Scholarship Challenge: 3rd annual Youth Scholarship Challenge will take place on Friday, October, 17. 8 teams will compete in 12 athletic competitions. This is a fund-raiser for the youth scholarship fund that provides funds for children in need to participate in Centre activities. $7,500 was raised last year. G. Other: There may be a new member to the Advisory Board next month. V. Comment Card Log: Request for more eucalyptus in the steam rooms seemed reasonable. We had a discussion regarding potential membership perks. Challenge is to be able to determine that it is cost effective for the investment. C. Maintenance Update: The light fixtures have been replaced which will result in substantial savings. The plans to rebuild the whirlpools continue to be finalized. D. Centre Monthly Statement: The transition to the new system continues to make it difficult to compare monthly totals. Next year will be apples to apples. E. Supervisor Spotlight-Jan Monell: Jan explained her responsibilities that include early childhood programs, dance classes ceramics and drop in gym for 6 and under. The fall pre-school had 240 students enrolled. Before and after school classes are being considered. F . Other: Centre apparel is being considered as members inquire about it regularly. Advantages to apparel are that it is `free" advertising in the community when worn by the members and it demonstrates pride in membership.
