RESOLUTION
APPROVING CHANGE ORDER NO. 8 IN THE CONTRACT WITH
REIKE OFFICE INTERIORS FOR FIRE STATION NO. 7
WHEREAS, the City of Elgin has heretofore entered into a contract with Reike Office
Interiors for flooring installation at Fire Station No. 7; and
WHEREAS,it is necessary and desirable to modify the terms of the contract as is described
in Change Order No. 8, attached hereto.
NOW, THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF
ELGIN,ILLINOIS,that Olufemi Folarin,City Manager,be and is hereby authorized and directed to
execute Change Order No. 8,a copy of which is attached hereto and made a part hereof by reference.

CHANGE ORDER No. 8
CONTRACT: Construction of Fire Station 7 (Bid No. 06-053)
SCOPE: On June 13, 2007, the City Council awarded a contract to Reike Office Interiors for the ce-
ramic and Carpet Flooring of Fire Station#7 totaling$59,456.
After the bid packages were awarded, the flooring selections were changed to reflect the City Green
Building" initiative for materials that had a higher post consumer content of recycled material. The
changes in the flooring material costs represents a higher post consumer content of recycled material and
the charge for work that was created by another contractor(Weaver Construction).
REASONS FOR CHANGE: Change Order No. 8 is in the best interest of the city and is authorized by
law. The necessity for the change was unforeseen at the time the contract was originally executed. The
changes contemplated in Change Order No. 8 are germane to the original agreement.
SUMMARY OF CHANGES IN CONTRACT AMOUNT: The original contract will be amended as
to scope and costs to include the change in flooring materials and additional work completed.

The original amount of the contract with Reike Office Interiors is $59,456. Change Order No. 8 totaling
$8,667 will increase the original contract amount by a total of$8,667,that sum representing fourteen
and six tenths percent(14.6%) of the original contract amount. The new contract amount, inclusive of
all change orders is $68,123.
OTHER CONTRACT PROVISIONS: All other contract provisions remain the same.

SUBJECT: Change Order No. 8 for the Construction of Fire Station 7
PURPOSE
The purpose of this memorandum is to provide the Mayor and members of the City Council with
information to consider authorizing Change Order No. 8 to the contract with Reike Office
Interiors for the ceramic and carpet flooring installation for Fire Station 7.
RECOMMENDATION
It is recommended that the City Council authorize the execution of Change Order No. 8 to the
contract with Reike Office Interiors for the ceramic and carpet flooring installation for Fire
Station 7 in the amount of$8,667.
BACKGROUND
On June 13, 2007, the City Council awarded a contract to Reike Office Interiors for the ceramic
and carpet flooring installation for Fire Station 7 in the amount of$59,456.
After the bid packages were awarded, the flooring selections were changed to reflect the City
"Green Building" initiative for materials that had a higher post consumer content of recycled
material. The changes in the flooring material costs represent a higher post consumer content of
recycled material and the charge for work that was created by another contractor (Weaver
Construction). The total cost of Change Order No. 8 with Reike Office Interiors is $8,667 for a
total contract price of$68,123.

FINANCIAL IMPACT
The total cost of Change Order No. 8 with Reike Office Interiors is $8,667. The total budget for
this project is $5,432,443 with $5,330,660 spent and/or encumbered to date. There are sufficient

funds budgeted ($483,750) and available ($48,542) in the 2008 Riverboat Lease Fund, account
number 276-0000-791.30-03, "Architectural and Engineering" project 289506, "Fire Station 7"
for the change order.

ALTERNATIVES
1. The City Council may choose to approve Change Order No. 8 with Reike Office Interiors
for the ceramic and carpet flooring installation for Fire Station 7 in the amount of$8,667.
2. The City Council may choose not to approve Change Order No. 8 with Reike Office
Interiors for the ceramic and carpet flooring installation for Fire Station 7 in the amount
of$8,667.
