CONSTRUCTION FOR THE NEW PUBLIC WORKS FACILITY WHEREAS, the City of Elgin has heretofore entered into a contract with Associated Electrical Contractors, Inc . for the new Public Works Facility; and WHEREAS, it is necessary and desirable to modify the terms of the contract as is described in Change Order No. 1, attached hereto. NOW, THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF ELGIN, ILLINOIS, that David M. Dorgan, City Manager, be and is hereby authorized and directed to execute Change Order No. 1, a copy of which is attached hereto and made a part hereof by reference . s/Ed Schock Ed Schock, Mayor Presented: May 28, 2003 Adopted: May 28, 2003 Omnibus Vote : Yeas : 6 Nays : 0 Attest : s/Dolonna Mecum Dolonna Mecum, City Clerk ELGIN, ILLINOIS PROJECT 339570—NEW PUBLIC WORKS FACILITY CHANGE ORDER No. 1 SCOPE: Change Order No. 1 will remove work items from the lump sum contract with Associated Electrical Contractors, Inc for Bid Item D-5, "Lighting and Electrical Modifications" of the New Public Works Facility Project - Bid Package D. REASONS FOR CHANGE: This Change Order No. 1 is in the best interests of the City and is authorized by law. SUMMARY OF CHANGES IN CONTRACT AMOUNT: The amount the contract will be revised is as follows: ITEM TOTAL 1. Delete base bid 750 KW generator with oil tank and wiring ($120,000.00) 2. Delete 12 bollard lights from employee entrance area and install 2 ($10,000.00) wall lights to light sidewalk 3. Revise feeder to panel RPWB to feed from panel PPC with local ($ 4,500.00) transformer 4. Revise feeder to panels RPSB-1 and RPSB-2 from panel PPC with ($ 9,400.00) 75 KVA transformer located on mezzanine above panels 5. Reuse existing panels for panels RPGB, PRWA and PPSB ($ 1,500.00) 6. Use screw fittings in lieu of compression and use thin wall conduit ($ 2,500.00) instead of aluminum The original contract with Associated Electrical Contractors is for $579,400.00. By reason of Change Order No. 1, the contract for Bid Item D-5, "Lighting and Electrical Modifications" of the New Public Works Facility Project - Bid Package D will be decreased by the amount of one hundred forty-seven thousand nine hundred and 00/100 dollars ($147,900.00). The new contract amount, inclusive of Change Order No. 1 is four hundred thirty-one thousand five hundred and 00/100 dollars ($431,500.00). Loete, Public Works Director SUBJECT: Authorization of Change Order No . 1 for Bid Item D-5, "Lighting and Electrical Modifications" For the New Public Works Facility PURPOSE The purpose of this memorandum is to provide the Mayor and members of the City Council with information to consider authorization of Change Order No. 1 for the subject project . BACKGROUND The City Council awarded the contract for electrical and lighting modifications (Bid Item D-5) at the new Public Works Facility to Associated Electrical Contractors at their meeting on April 23 , 2003 . The project consisted of some extensive modifications to the electrical system in the building to facilitate the specialized uses in the department, especially the fleet maintenance function. At the time of contract approval, it was indicated that a change order would be sought to delete the installation of a standby generator from the project . This deletion was to be done to get a major cost reduction in order to create an adequate contingency in the project budget . Change Order No. 1 (attached) will delete the generator as well as take advantage of several "value engineering" suggestions from the contractor.
